Advanced Submit Server User Documentation

Purpose

The Advanced Submit Server is designed to:

  1. Collect Data: Automatically collect and send data to the form or calculator owner whenever a user presses submit.
  2. Data Backup: Keep a backup of all submissions to ensure no data is lost, even if the email does not arrive.
  3. Shared Access: Allow more people, aside from the owner, to view the submissions.
  4. Downloadable Submissions: Provide an option to download all submissions.

Logging in to App.SpreadsheetConverter.com

To access the Advanced Submit Server:

  1. Register: Go to app.spreadsheetconverter.com and click “Register as a new user.”
  2. Confirm Email: You will receive an email. Click the link to confirm your registration.
  3. Log in: After confirmation, log in to the system.
  4. Account Selection: If necessary, select your account. Otherwise, proceed to click on Forms.
  5. Form Selection: Choose the form whose submissions you want to view.

Viewing Submissions

  1. Newest Submissions: You will see a list of the most recent submissions.
  2. Options:
    • Open: View the submission in your browser.
    • Download: Click "Download" to get a PDF version and any associated attachments.
    • Paging: Navigate through pages by clicking Newer or Older.
  3. Download to Excel: To download all submissions in one go:
    • You will receive an .xlsx file containing all fields of the form.
    • Each row represents a submission, and each column corresponds to a field.

Note: If no submissions are available or you have not been added as a guest, you will see a message indicating this.

Problem Troubleshooting

Issue: No Submissions or Not Added as a Guest

If you log in and see a message like No submissions found or are unable to view any forms, this may be due to one of the following reasons:

  1. No Submissions Made Yet:

    • This message will appear if there have been no submissions made to the form yet.
    • Solution: Wait until submissions are made, and then check back later.
  2. Not Added as a Guest:

    • If you have not been added as a guest by the form owner, you will not be able to view any submissions.
    • Solution: Contact the form owner and request to be added as a guest.
    • Once added, you will have access to the submissions.
  3. Incorrect Account Selection:

    • Sometimes, you may have access to multiple accounts, and the wrong account may be selected by default.
    • Solution: Ensure that you have selected the correct account when logging in. This can be done by manually selecting the appropriate account under the Account Selection page.

Issue: Login Failure

If you cannot log in after confirming your email, follow these steps:

  1. Check Email Confirmation:

    • Ensure that you clicked the confirmation link in your email after registering.
  2. Clear Browser Cache:

    • Sometimes browser issues can prevent proper login. Try clearing your browser cache and cookies, then attempt to log in again.
  3. Forgot Password:

    • If you forgot your password, use the Forgot Password option on the login page to reset your credentials.
  4. Account Lockout:

    • After multiple failed login attempts, your account may be temporarily locked. Wait for 10-15 minutes and try again.

Administration

Adding and Removing Guests

You can give other users access to submission data:

  1. Register New User: First, the new user must register an account.
  2. Add Guest: After registration, you can add them as guests, giving them access to the same data as you.

Deleting a Form

Warning: If you delete a form, all associated data will be permanently deleted and cannot be recovered.

Backups

  1. Internal Backup: The database automatically backs up the data.
  2. External Backup: To maintain your own backup, use the Download to Excel option.
